Summary/Objective:  The records clerk performs routine clerical, and administrative work in filing, data processing, and providing assistance to human resource staff.
 
Essential Functions:  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
  • Manage the digitization process and flow of employee files and general HR documents.
  • Create, maintain and organize electronic personnel files and general filing.
  • Serve as back-up to E-Verify, edit and maintain the I-9 recordkeeping database.
  • Remove and destroy outdated material in accordance with the records retention schedule.
  • Serve as back-up to the receptionist answering the central telephone system and directing calls accordingly; receive the public and answer questions, in person and by telephone; respond to inquiries from employees and others and refer, when necessary, to the appropriate person or department. May be required to prepare outgoing mail; sorts and distributes incoming mail.
  • Interface with other department personnel and assist with administrative tasks as assigned.
  • Operates listed office machines as required.
  • Duplicates and distributes materials as it relates to personnel files.
  • Composes, types and edits correspondence, reports, memoranda and other material as assigned.
  • Cross-train for other job functions as designated by supervisor.
  • Helps maintain office supply inventory.
  • Other projects as assigned.
 
Competencies and Knowledge:
Strong filing knowledge, organizational, telephone skills, positive communication skills (verbal and written), foundational knowledge of Microsoft Office Products, professionalism, flexibility, project management, initiative and time management skills.
 
Supervisory Responsibility:  This is not a supervisory position.
 
Work Environment:  This job operates in a professional office environment.  This role routinely uses standard office equipment such as computers, telephones, photocopiers, facsimile machines and filing cabinets.
 
Physical Demands:  The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  While performing the duties of this job, the employee is regularly required to talk or hear.  The employee is frequently required to stand for long periods of time; walk; climb up and down stairs; lift weight up to 25 lbs; use hands to finger, handle or feel; and reach with hands and arms.
 
Position Type/Expected Hours of Work:  This is a full-time position.  Days and hours of work are Monday through Friday 8:00 am to 5:00 pm.
 
Travel:  No travel is expected for this position.
 
Required Education and Experience:  High school diploma or GED equivalent with specialized course work in general office practices such as filing and typing. Prior experience with digitizing and electronic records / files preferred.
 
Additional Eligibility Qualifications:  Two years of increasingly responsible related experience, or any equivalent combination of related education and experience.
 
Security Clearance:  All employees are required to pass the fingerprint-based criminal history records check (CHRC) per 49CFR1542.209.
