Base Coordinator - Flight Ops

Reports to: Chief Pilot

 

Summary/Objective:  The Base Coordinator-Flight Operations is responsible for providing administrative and office support for multiple supervisors as well as the flight operations staff. This position carries out a variety of responsibilities including, but not limited to: communicating via phone and email ensuring that all administrative assistant duties are completed accurately and delivered with high quality and in a timely manner. Administer Commuter Hotel Reimbursement Program, process hotel receipts and verify eligibility for program.

·         Create spreadsheet each month in excel to log employee information and amount of hotel stays

·         Verify all submitted hotel receipts by cross referencing with employees scheduled trips , note all base changes and address changes

·         Log and tally each hotel receipt onto spreadsheet and submit to SSO for reimbursements

·         Track and address any issues with missing reimbursement checks

·         Manages crew member status (personnel action notices) and Flight Operations department reports

·         Performs a variety of administrative duties.

·         Compiles and delivers reports, maintains databases in Excel and maintains files.

·         Composes, types and edits correspondence, reports, memoranda and other material as assigned.

·         Performs other duties and projects as assigned.

·         Assist in all aspects of general flight operations office functions.

·         Monitoring and updating of Crew tracking and reliability.

·         Monitoring of required crew documentation.

·         Maintain confidentiality in all aspects of crewmember, staff and airline information.

·         Performs other duties and projects as assigned.

Supervisory Responsibility:  This position has no supervisory responsibilities.

 

Work Environment:  This job operates in a professional, busy office environment. This role routinely uses standard office equipment such as computers, telephones, photocopiers, facsimile machines and filing cabinets.

 

Physical Demands:  The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. 

 

While performing the duties of this job, the employee is regularly required to talk or hear. This is largely a sedentary role; however, the employee is frequently required to stand; walk; climb up and down stairs; lift weight up to 25 lbs; use hands to finger, handle or feel; and reach with hands and arms.

 

Position Type/Expected Hours of Work:  This is a full-time position. Days and hours of work are Monday through Friday 8:00 am to 5:00 pm. 

 

Travel:  No travel is expected for this position.

 

Required Education and Experience: High school diploma or equivalent required; Associates Degree preferred. At least two years of related aviation experience is preferred.  At least two-five years of experience in an office environment desired.  Proficient computer skills with Microsoft Office programs with a heavy emphasis on Excel.  Knowledge of Sabre Suite of Systems preferred.  

 

Security Clearance:  All employees are required to pass the fingerprint-based criminal history records check (CHRC) per 49CFR1542.209.
